Job Description

Job title: Executive Assistant and Board Coordinator
Reports to: Chief Executive Officer
Key Relationships: Sandhurst Trust and RMAS leadership

Purpose of the Role

As Executive Assistant to the CEO and Board Coordinator, you will play a pivotal role in supporting the CEO and Trustees, coordinating the smooth running of the organisation and ensuring new colleagues have an excellent start.

This is a hands-on role in a small, ambitious organisation. The successful candidate will be proactive, highly organised and comfortable working autonomously. You will be at the centre of the Trust's day-to-day operations, making sure things happen effectively, efficiently and professionally, whilst working with senior stakeholders to ensure excellent governance.

Key Responsibilities

Executive support to the CEO

• Support the CEO through diary management, meeting coordination, preparation of materials and any other administrative tasks as required
• Support the CEO with travel arrangements, visits, events and external engagements
• Handle confidential and sensitive information with discretion and sound judgement
• Anticipate the CEO's needs and identify issues or actions requiring attention

Trustee board management and coordination

• Coordinate the annual Trustee Board and committee meeting cycle, working with the CEO and relevant colleagues to establish agendas and timelines
• Manage meeting logistics, invitations, committee papers and attendance
• Maintain accurate records of meetings, decisions, ensuring actions are tracked and completed within agreed timescales
• Liaise professionally and confidently with Trustees, committee members and senior stakeholders

Team onboarding and coordination

• Coordinate the end-to-end administrative process for new starters, ensuring equipment, systems, access and relevant documentation are ready before arrival
• Coordinate induction meetings, orientation visits and security protocol
• Coordinate and support wider team activities including away days, team meetings, and other moments that bring the team together, ensuring these are thoughtfully organised and contribute to a positive, welcoming and connected team culture

Office management and coordination

• Coordinate the practical running of the office, including facilities, equipment and supplies, acting as the first point of contact for office-related matters
• Champion continuous improvement; look for smarter ways of working using digital tools to simplify admin processes, improve efficiency and support collaboration

Person Specification

Essential criteria

• Highly organised and methodical, with excellent attention to detail
• Ability to manage multiple priorities, deadlines and competing demands effectively
• Strong admin and coordination skills, with a focus on accuracy and follow-through
• Experience coordinating meetings involving senior stakeholders, including preparation of agendas, papers, logistics and follow-up actions
• Digitally confident and curious, with the ability to learn new systems quickly and identify opportunities to use technology to improve efficiency and ways of working
• Ability to work confidently and professionally with trustees and senior stakeholders
• Ability to handle confidential or sensitive information with a high level of integrity, discretion and professional judgement
• Proactive, positive, solutions-focused approach, with the ability to anticipate needs and take action without requiring
detailed instructions
• Strong written and verbal communication skills
• Strong interpersonal skills with the ability to work collaboratively and contribute positively to a small, close-working team.
• Reliable, adaptable and willing to undertake a broad range of responsibilities

Desirable criteria

• Experience of/links with the British Army
• Experience within a fundraising, charity, or educational institution
• An understanding of the role and responsibilities of Trustees within a charity

Terms & Conditions

Salary: Circa £35,000
Contract Type: Permanent, full time
Pension: Auto-enrolment pension (Sandhurst Trust contributes 8% and employee 4% minimum)
Location: Minimum two days a week in the office (GU15 4PQ)
Hours of work: 35 hours per week, typically between 9:00am and 5:00pm, Mon – Fri
Probation period: 3 months
Annual leave: 28 days (plus bank holidays)
Other: Enhanced parental leave, life assurance benefit, volunteering days.
Gym and Swimming Pool Access for a nominal annual fee.
